3. How and why we use your information

We use your personal data for the following purposes and legal bases under UK GDPR:

  • To provide and operate the services – for example, to run flight searches, save your preferences, generate itineraries and power AI-driven recommendations.
    Legal basis: performance of a contract or steps taken at your request.
  • To manage bids and itineraries – including recording bids you submit, sending you summaries by email and, where relevant, passing non-binding bid information to providers or partners.

  • To meet legal and regulatory obligations – for example, record-keeping, responding to lawful requests from authorities and enforcing our Terms of Service.
    Legal basis: compliance with legal obligations; our legitimate interests in protecting our rights.

4. Cookies and similar technologies

We use cookies and similar technologies to:

  • remember your sign-in status and preferences;
  • enable essential security and fraud-prevention functions;
  • understand how users navigate and interact with the Site (analytics);
  • measure and improve campaign performance and, where applicable, show relevant travel content.

Some cookies are strictly necessary for the Site to function and are set without consent. Non-essential cookies (such as certain analytics or marketing tools) are used in line with applicable consent requirements.

You can manage cookies via your browser settings and, where offered, our on-site controls. Disabling certain cookies may affect functionality.

5. How we share your information

We do not sell your personal data. We may share it in the following limited circumstances:

  • Travel and affiliate partners: such as airlines, OTAs, metasearch providers and affiliate networks (e.g. partners like Skyscanner, Expedia or Trip.com) where necessary to generate itineraries, deep-links or bids, or where you choose to follow a link to a provider. Those partners act as independent controllers of their own services and will have their own privacy policies.
  • Service providers: companies that help us operate our services, such as cloud hosting, analytics, email delivery, customer-support platforms and security tools. They act as processors and may only process data on our instructions.
  • AI partners: when you use our AI features, prompts and outputs may be processed by third-party AI providers (such as OpenAI or similar vendors) to generate responses and, in some cases, to improve their models in accordance with their terms. We seek to minimise personal data in prompts where possible.
  • Professional advisers and legal authorities: where necessary to obtain legal or financial advice, enforce our rights, respond to legal process, or comply with applicable law.
  • Business transfers: in the context of a merger, acquisition or sale of assets, where personal data may be transferred as part of the transaction subject to appropriate safeguards.

6. International data transfers

Your personal data may be processed or stored outside your home country, including in the UK, the European Economic Area (EEA) and the United States. Where we transfer data internationally, we use appropriate safeguards, such as:

  • adequacy regulations or decisions (for countries recognised as offering adequate protection); and/or
  • Standard Contractual Clauses or equivalent mechanisms approved by relevant authorities.

You can contact us for more details about specific transfer safeguards in place.

7. Data security

We use administrative, technical and physical security measures – including encryption in transit, access controls, logging and hardened hosting – to help protect your personal data from unauthorised access, loss or misuse. While no system can guarantee absolute security, we monitor our environment and review our controls regularly.

8. Data retention

We keep personal data only for as long as reasonably necessary to fulfil the purposes described in this policy, to comply with legal, accounting or reporting obligations, and to resolve disputes.

Retention periods vary depending on the context (for example, basic account data may be kept while your account is active, and for a reasonable period afterwards; log data may be retained for a shorter period for security and diagnostic purposes). When data is no longer needed, we will securely delete or anonymise it.

9. Your rights

Depending on your location and subject to exemptions, you may have rights in relation to your personal data, including:

  • the right to access a copy of the personal data we hold about you;
  • the right to ask us to correct inaccurate or incomplete information;
  • the right to request deletion of your data in certain circumstances;
  • the right to object to or restrict certain types of processing;
  • the right to data portability (to receive data in a structured, commonly used format);
  • the right to withdraw consent where we rely on consent (e.g. certain marketing or non-essential cookies).

To exercise these rights, contact us at privacy@flightbid.net. We may need to verify your identity before responding. We will respond within applicable legal timeframes.

If you are unhappy with how we handle your data, you can also lodge a complaint with your local data protection authority. In the UK, this is the Information Commissioner’s Office (ICO) at ico.org.uk.

10. Third-party links and services

Our Site contains links to third-party websites and services (for example airlines, OTAs, metasearch sites and AI tools). We are not responsible for the privacy practices or content of those third parties. We encourage you to review their privacy policies before providing personal information or completing a booking.

11. Children’s privacy

Our services are not intended for children under 16. We do not knowingly collect personal data from anyone under this age. If you believe a child has provided us with information without parental or guardian consent, please contact us so we can take appropriate steps to delete or anonymise it.

12. Changes to this Privacy Policy

We may update this Privacy Policy from time to time, for example to reflect changes in law, guidance or our services. Any updates will be posted on this page with an updated effective date. We encourage you to review this policy periodically. Your continued use of the Site after changes take effect indicates your acceptance of the updated policy.
